This Shipping Policy applies to orders placed on duct.harsle.com (the “Site”), operated by Nanjing HARSLE Machine Tool Co., Ltd. (“HARSLE”, “we”, “us”, “our”). It explains how we process, ship, and deliver ductwork machinery and related parts.

1. Shipping Coverage & Destinations

We ship internationally, subject to:

  • Destination country import regulations and restrictions
  • Carrier availability and route constraints
  • Compliance requirements for industrial machinery shipment

Some remote areas may require additional transit time or surcharges. If shipping to your location is not available, we will notify you before processing the order.

2. Order Processing Time

Standard processing time: typically 3–7 business days after:

  • payment is confirmed (or deposit received for contract-based orders), and
  • order details are confirmed (voltage, configuration, optional accessories, shipping terms, etc.)

For made-to-order / customized machinery, the production lead time will be confirmed in the Proforma Invoice (PI) or sales contract.

Business days: Monday–Friday, excluding public holidays in China.

3. Delivery Time & Lead Time

Delivery time depends on the product type, shipping method, and destination:

Machinery & Large Equipment

  • Usually shipped by sea freight (FCL/LCL) or rail (where available).
  • Typical transit times are estimate-only and may vary due to customs, port congestion, weather, and peak seasons.

Spare Parts & Consumables

  • Usually shipped by express courier (e.g., DHL/UPS/FedEx) or air freight when requested.
  • Typical transit times are estimate-only and may vary due to customs clearance and local delivery conditions.

Important: All delivery dates shown on the Site, PI, or emails are estimated, not guaranteed.

4. Shipping Methods & Incoterms

For duct division products, shipping terms are typically agreed under international trade terms (Incoterms®). Common options include:

  • EXW (Ex Works): Buyer arranges pickup and all transportation.
  • FOB (Free On Board): We deliver goods to the named port of shipment; buyer arranges main transport and insurance.
  • CIF (Cost, Insurance & Freight): We arrange sea freight and insurance to the destination port; buyer handles import clearance and inland delivery.
  • DAP/DDP (Delivered at Place / Delivered Duty Paid): Available in selected regions upon request; details must be confirmed in writing.

The applicable Incoterm and delivery responsibility will be stated clearly on your PI/contract.

5. Shipping Costs

Shipping cost depends on:

  • product dimensions/weight and packaging
  • destination and shipping method
  • Incoterm selected (EXW/FOB/CIF/DAP/DDP, etc.)
  • optional services (wooden case, fumigation, insurance, special handling)

If shipping fees are not shown at checkout for machinery orders, we will provide a written freight quotation and confirm it with you before shipment.

6. Packaging & Shipment Safety

To reduce damage risk during transport, we may use one or more of the following:

  • export-grade packing (wooden case / pallet / steel base where applicable)
  • moisture-proof protection and surface protection film
  • securing and reinforcement inside containers for sea freight
  • separate protective packing for sensitive components (controllers, screens, electrical parts)

Packaging type will be confirmed in the PI/contract when needed.

7. Tracking & Shipment Documents

Tracking

  • For express parcels: tracking number will be provided once shipped.
  • For sea/rail freight: we can provide shipping documents and container details after booking and loading.

Documents (as applicable)

We may provide:

  • Commercial Invoice
  • Packing List
  • Bill of Lading (B/L) or Air Waybill (AWB)
  • Certificate of Origin (if requested)
  • Other documents required by destination customs (as agreed)

8. Customs, Duties, Taxes & Import Requirements

International shipments may be subject to:

  • import duties, VAT/GST, customs fees, brokerage charges
  • local compliance requirements (including electrical standards, safety regulations, etc.)

Unless explicitly stated as DDP, the buyer is responsible for:

  • import clearance
  • duties/taxes and any local charges
  • providing required import documentation (e.g., importer of record details)

If a shipment is delayed or returned due to incomplete/incorrect import information provided by the buyer, additional costs may apply.

9. Delivery, Inspection & Risk of Loss

Risk transfer follows the agreed Incoterm in the PI/contract.

Upon delivery, please:

  1. check the outer package for visible damage,
  2. take photos/video if damage is found, and
  3. note damage on the delivery receipt (when possible).

If there is shipping damage or missing items, please contact us within 7 calendar days of delivery with:

  • order number / PI number
  • photos/videos and a description of the issue
  • packaging photos (outer and inner)
  • carrier paperwork (if available)

10. Failed Delivery / Incorrect Address

If delivery fails due to:

  • incorrect address/phone number,
  • recipient unavailability, or
  • refusal to accept delivery,

the buyer may be responsible for:

  • re-delivery charges, storage fees, or return freight.

11. Split Shipments

We may ship an order in multiple shipments when:

  • items have different lead times,
  • spare parts are shipped earlier by courier, or
  • logistics requires separate packaging.

If split shipment affects costs, we will confirm it with you in advance.

12. Force Majeure / Uncontrollable Delays

We are not liable for delays caused by circumstances beyond our reasonable control, including but not limited to:
port congestion, customs inspections, carrier delays, strikes, severe weather, natural disasters, war, or changes in laws/regulations.
