This Refund and Returns Policy applies to purchases made on duct.harsle.com (the “Site”), operated by Nanjing HARSLE Machine Tool Co., Ltd. (“HARSLE”, “we”, “us”, or “our”).

This policy explains the conditions under which returns, refunds, exchanges, and claims may be accepted for products purchased from our Duct Division.

1. Business Nature & Product Type

HARSLE Duct Division primarily supplies:

  • Industrial duct fabrication machinery
  • HVAC sheet metal equipment
  • Spare parts and accessories
  • Custom-configured equipment

Most machinery is made-to-order, industrial-grade equipment for B2B customers. Because of the customized and industrial nature of our products, return eligibility differs from standard consumer goods.

2. Order Cancellation Policy

Before Production Starts

Orders may be canceled without penalty if production has not yet begun and no materials have been procured.

After Production Starts

If production has started:

  • Deposit payments are generally non-refundable
  • Cancellation may be subject to material, labor, and engineering costs already incurred

Customized equipment cannot be canceled once manufacturing is substantially completed.

All cancellation requests must be submitted in writing to info@harsle.com.

3. Returns Eligibility

A. Machinery & Custom Equipment

Due to the size, configuration, and international shipping of industrial machinery:

  • Returns are not accepted for non-defective, correctly supplied equipment
  • Returns may be considered only if:
    • The product was shipped incorrectly (wrong model/specification)
    • There is confirmed manufacturing defect
    • There is severe shipping damage verified by documentation

Return requests must be submitted within 7 calendar days of delivery.

B. Spare Parts & Accessories

Spare parts may be eligible for return if:

  • The item is unused
  • In original packaging
  • Returned within 14 calendar days of delivery
  • Not customized or specially ordered

Buyer is responsible for return shipping costs unless the error was caused by us.

4. Non-Returnable Items

The following items are not eligible for return:

  • Customized machinery
  • Custom electrical configurations (voltage, control system modifications)
  • Software-configured systems
  • Installed or used machinery
  • Clearance or specially discounted items
  • Goods damaged due to improper use, installation, or maintenance

5. Shipping Damage Claims

If your shipment arrives damaged:

  1. Inspect goods immediately upon delivery
  2. Take photos/videos of outer packaging and internal damage
  3. Note visible damage on the delivery receipt (if possible)
  4. Contact us within 7 jours of delivery

Failure to report within this period may affect claim eligibility.

For sea freight shipments under FOB/CIF terms, damage claims may require coordination with the shipping carrier or insurance provider.

6. Defective Products & Warranty Claims

If a product is defective due to manufacturing issues:

  • Please provide photos/videos and detailed description
  • Our technical team will evaluate remotely
  • Spare parts may be supplied under warranty
  • On-site service (if required) will follow the terms of the purchase contract

Refunds are generally not issued when repair, replacement, or technical support can reasonably resolve the issue.

Warranty terms are governed by our separate Warranty Policy.

7. Refund Process

If a refund is approved:

  • Refunds will be issued to the original payment method
  • Bank transfer refunds may require processing time depending on financial institutions
  • Any intermediary bank charges may be deducted
  • Shipping costs are non-refundable unless the error was caused by us

Processing time may take 5–15 business days after approval.

8. Return Shipping & Logistics

If return is approved:

  • Buyer must securely repack equipment
  • Buyer is responsible for return freight unless otherwise agreed
  • Goods must be returned to the designated warehouse or factory address provided in writing
  • Risk during return transit remains with the sender

Returned goods must be inspected before refund approval.

9. Restocking Fee

For eligible spare part returns (non-defective), we may apply a reasonable restocking fee to cover inspection and administrative costs.

10. Force Majeure

We are not responsible for refund or return delays caused by:

  • Customs restrictions
  • Import/export regulatory changes
  • Carrier delays
  • Natural disasters
  • Events beyond our reasonable control

11. Chargebacks & Payment Disputes

Customers are encouraged to contact us directly before initiating a chargeback or payment dispute.

Unauthorized or unjustified chargebacks may:

  • Delay resolution
  • Result in additional administrative costs
  • Affect future business eligibility
